Program & Event Support
- Assist in planning, preparing, and executing community programs, fundraising campaigns, and special events.
- Coordinate meeting and event logistics including scheduling, materials preparation, setup, and cleanup.
- Provide on-site event support such as registration, distributing materials, and assisting attendees.
- Regularly take and upload photos from events, programs, and outreach activities; organize media files in proper folders for internal and external use.
Executive & Grant Support
- Support the Executive Director by managing calendars, meeting schedules, and key deadlines.
- Prepare materials such as letters, presentations, reports, and board packet material.
- Attend board and committee meetings; take and summarize meeting minutes (not verbatim).
- Assist with grant-related documentation, deadline tracking, and reporting.
Office Operations & Communications
- Serve as a point of contact for donors, volunteers, board members, community partners, and stakeholders.
- Respond professionally to emails, calls, and in-person inquiries.
- Coordinate and distribute campaign materials, bulk mailings, and email communications using mail merge and online tools.
- Maintain a clean and organized office space, including supply orders and storage areas.
- Provide referral information and assist walk-in community members with resources.
Data Management & Reporting
- Use or learn the Citrix-based campaign platform to access donor records, track data, and generate reports.
- Submit weekly financial batches, process deposits, and maintain accurate donation records.
- Keep donor, sponsor, and campaign lists up to date and assist with reporting as needed.
Qualifications & Skills
- Proficient in Outlook, Microsoft Word, and Excel; able to create professional documents and spreadsheets.
- Strong written and verbal communication skills.
- Detail-oriented, organized, and able to manage multiple priorities independently.
- Comfortable learning new systems and adapting to changing needs.
- Experience with (or willingness to learn) donor management and reporting platforms.
- Reliable time management skills and a proactive, self-directed work style.
Work Conditions & Availability
- Part-time position: 25–30 hours/week, primarily during daytime hours.
- Flexibility is required during events, campaigns, kickoffs, and evening meetings; hours can be flexed accordingly.
- $15.50/hour with 5 days PTO, plus potential for additional time off based on performance and tenure.
- The office is closed on all Federal holidays. These are unpaid, but employees may choose to work part or all of their regular shift on those days.
