Key Responsibilities
- Financial Record Keeping: Accurately record all financial transactions in the appropriate ledgers using the church’s accounting software, including donations, expenses, accounts payable, and accounts receivable.
- Banking: Reconcile monthly bank statements and manage bank deposits, ensuring that all incoming funds are processed and allocated correctly.
- Donations and Contributions: Post all contributions and receivables using the church’s accounting software. Track individual donor’s offerings, tithes, and special gifts. Issue statements and receipts to donors as required, and maintain confidentiality regarding all contributions. Produce and distribute a fiscal Year End Record of Contributions to each donor.
- Accounts Payable and Receivable: Process invoices, reimbursements, and payments in a timely manner. Monitor outstanding receivables and follow up as needed.
- Payroll: Administer payroll for church staff, maintain payroll records, and ensure compliance with applicable tax laws and reporting requirements. Submit monthly payroll taxes to the IRS. Produce and distribute fiscal year-end tax statements for employees.
- Investment Accounts: Record monthly changes to Investment & Savings accounts reflecting all transactions including the re-appropriation of portfolio funds, gains/losses for each account, and the monthly reconciliation of all investment account statements.
- Financial Reporting: Prepare monthly, quarterly, and annual financial reports for church leadership, finance committees, and congregational meetings. Clearly present the financial status of the church, highlighting trends or concerns.
- Budgeting: Assist in the preparation and management of the annual church budget. Monitor actual spending against budgeted amounts, and report variances.
- Compliance: Ensure all financial practices comply with federal, state, and local laws, as well as denominational guidelines, including charitable donation regulations.
- Audit Preparation: Facilitate internal and external audits by maintaining organized records and providing all necessary documentation to auditors or financial oversight committees.
- Vendor Management: Maintain relationships with vendors, ensure compliance with vendor contracts, and ensure timely payment for services and supplies received.
- Financial Policy Development: Assist in the creation and enforcement of church financial policies and procedures to promote good stewardship and mitigate risk.
- Special Projects: Support stewardship campaigns, capital improvement projects, and fundraising events with financial tracking and reporting.
Required Qualifications
- Confidentiality: Maintain the highest level of confidentiality regarding church finances, donor information, payroll, and other sensitive matters.
- High school diploma or equivalent required.
- Bookkeeping or accounting experience, preferably for a nonprofit or church setting.
- Familiarity with accounting software (such as QuickBooks, ACS, or similar), Microsoft Office Suite (especially Excel), and digital banking tools. Power Church is a plus.
- Working knowledge of payroll systems and relevant tax laws.
- Strong organizational skills, attention to detail, and meeting deadlines.
- Ability to maintain confidentiality and demonstrate integrity in all matters.
- Excellent communication skills, both written and verbal.
- Ability to work independently, manage multiple priorities, and meet deadlines.

Preferred Skills and Attributes
- Experience with nonprofit fund accounting practices
- Associates or Bachelor’s Degree in Accounting or a related field.
