Position Summary
The Gifts Processing Specialist (cash & monetary donations) provides essential financial and administrative support to Shepherd’s House Ministries by ensuring timely, accurate, and confidential processing of donations. This role is steady throughout the year but experiences heavier workloads during year-end giving and fundraising events. The position requires attention to detail, integrity, and collaboration with both the Finance and Development teams to ensure that donor contributions are processed, receipted, and reported with excellence.
Accountability Statement
The Gift Processing Specialist is responsible for accurately entering, reconciling, and receipting financial contributions in support of Shepherd’s House Ministries. This position ensures the organization maintains trustworthy financial practices and upholds strong donor relationships by processing gifts promptly, maintaining precise records, and supporting seasonal giving campaigns.

This role requires a high degree of accuracy and confidentiality in handling financial and donor information. Success in the position relies on consistent attention to detail, effective collaboration, and flexibility during peak giving seasons. The Gift Processing Specialist operates in a professional office environment, with occasional increased workload and adjusted scheduling needs during year-end giving periods and major fundraising events.
Key Responsibilities
Strategic Work (30%)
- Support Shepherd’s House Ministries’ mission, vision, and values by ensuring financial integrity and accuracy in donation processing.
- Promote transparency and accountability by maintaining reliable systems for donor records and financial reporting.
- Collaborate with the Development Team to enhance donor stewardship practices and support campaign effectiveness.
- Identify and recommend improvements to donation and reconciliation processes.
Tactical Work (70%)
- Process, record, and reconcile donations, including checks, online contributions, recurring gifts, and event donations.
- Prepare and issue donor receipts in compliance with IRS regulations and organizational standards.
- Collaborate with Finance to reconcile donations with accounting systems and records.
- Maintain organized and accurate donation records, deposits, and donor correspondence.
- Generate reports on donation activity for leadership, auditors, and external stakeholders.
- Provide administrative and financial support during high-volume giving seasons (November–January) and major fundraising events.
- Assist with special projects and initiatives for Finance and Development teams as assigned.
Physical Requirements
- Primarily sitting or standing at a desk for extended periods while entering and reconciling data.
- Regular computer use for spreadsheets, databases, and donor management systems.
- Ability to communicate professionally with donors, staff, and volunteers in a manner that reflects care, compassion, and confidentiality.
Qualifications
Required:
- Strong attention to detail, accuracy, and confidentiality in handling sensitive information.
- Proficiency with spreadsheets (Excel or Google Sheets) and data entry.
- Ability to work independently and manage varying workloads.
- Experience in accounting, finance, or non-profit development (preferred)
- Familiarity with donor management software and accounting systems (preferred)

Pay: $22.00 - $25.00 per hour
