THE ROLE: The Part-Time Administrative Assistant will work a schedule of Monday, Tuesday and Thursday 8:30am-5pm. This position works with a variety of clients, program staff and district leadership to ensure consistent operations for the LCSNW, Everett office. Helps to create and maintain a positive office environment and client experience by collaborating and communicating effectively with staff and clients.

ESSENTIAL JOB FUNCTIONS: Include the following. Other duties may be assigned.

Greet and direct clients and visitors in a cordial and professional manner.
Monitor staff and visitor access and maintain security awareness.
Maintains and manages building access including keys, alarm codes and alarm systems.
Answer agency multi-line telephones, route calls, take messages, and provide information about programs offered to clients.
Assist clients with program intake forms and/or service applications as needed.
Maintain and control the office’s shared conference rooms scheduling calendars.
Help set up and maintain conference rooms before and after use.
Become knowledgeable of all LCSNW programs located at Everett office.
Responsible for maintaining the Everett organizational chart and staff telephone list.
Maintain confidentiality of information and follow all HIPAA regulations concerning protected health information.
Responsible for maintaining and purchasing staff and general office supplies.
Help maintain cleanliness and organization in the shared break room and kitchen, including light restocking and tidying as needed.
Maintain marketing materials (Stocked, orderly and updated) and prepare marketing kit for staff to use for scheduled events, fairs, and presentations.
Work with staff members to secure help with front desk coverage as needed.
Receive and distribute mail and deliveries.
Codes and directs monthly invoices to district leaders and accounts payable.
Provides orientation to new staff assigned to the Everett office.
Serves on committees throughout the year associated with district functions including acting as the local safety committee representative.
Other office duties as assigned.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. High School Diploma or GED or equivalent required. Two years of administrative experience. This position requires highly organized person who is proficient with details and following through.
Skilled in planning and prioritizing work effectively, working independently and with minimal supervision.
Excellent oral and written communication skills.
Strong interpersonal skills and ability to work collaboratively with colleagues and partners.
A strong level of cultural competence is required.
Must be able to work in a multicultural setting.
Must have experience working with database programs and familiarity working with the Internet, Excel, Email, and Word.
Understanding of the social service system is highly desired.
