The Executive Assistant provides direct administrative support to the Associate Chief Development Officer & Campaign Director as well as the Global Director of Principal Gifts. They provide support for division events and retreats as well as committee work in partnership with the Executive Coordinator, Associate Director of Strategy & Project Management, and Associate Director, Internal Communications. They provide support to the Chief Development Officer on the absence of the Executive Coordinator. They provide back-up support for the division toll-free line.
The Executive Assistant is responsible for a variety of administrative support tasks, which may include domestic and international travel arrangements, calendar management for individuals and groups, drafting correspondence and contracts with external consulting firms, monitoring executives’ outlook inbox, processing expenses and invoices, and scheduling and coordinating logistics of meetings, all staff town halls, department retreats, and special events. They provide logistics support to the Associate Chief Development Officer & Campaign Director and the Global Director of Principal Gifts’ teams. They use available systems and resources to maintain, track and research data, and produce and review reports. They implement processes and practices to improve effectiveness. The Assistant coordinates activities with multiple variables, setting realistic deadlines and managing the timeline. They apply established processes and practices to improve effectiveness and satisfy administrative requirements based on knowledge of policies and procedures. The Assistant communicates on behalf of the Associate Chief Development Officer & Campaign Director as well as the Global Director of Principal Gifts with staff in various programs across the Conservancy, also with donors, vendors, and business relations. They work closely with other staff, distributing information, sharing knowledge, and providing insights to assist staff in making decisions, solving problems, and improving workflow. They perform additional administrative support for individuals, programs and manage short-term projects as required.

Bachelor’s degree and 2 years’ experience or equivalent combination.
Experience generating reports and interpreting data.
Experience in business writing, editing, and proofreading.
Experience organizing time and managing diverse activities to meet deadlines.
Experience working across teams and communicating with a wide range of people.
Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
Ability to analyze information for the purpose of coordinating and planning activities and solving problems.
Ability to use existing technology to achieve desired results.
Experience interpreting guidelines to achieve desired results.
Experience working with a board of directors, donors, volunteers, the public, and/or all levels of staff.
Strong organization skills, accuracy, and attention to detail.
The starting pay range for a candidate selected for this position is generally within the range of $56,000 - $81,600 . This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
